Umlauts change your name's spelling in predictable but inconsistent ways

When ä, ö, ü and ß meet a system that cannot store them, the conventional expansion is ae, oe, ue and ss — Müller becomes Mueller. But some systems simply strip the diaeresis instead, giving Muller. Both appear on real documents, and a person's German records and US records frequently disagree about which was used.

Germany, Austria and Switzerland issue different documents

A German Geburtsurkunde comes from a Standesamt; Austrian and Swiss records come from their own authorities with their own layouts and terminology, and Switzerland's are additionally shaped by a multilingual federal system. The language is shared; the paperwork is not.

Germany also distinguishes between a Geburtsurkunde and a beglaubigter Ausdruck aus dem Geburtsregister — a certified printout of the register entry, which carries more detail including later annotations. Where a receiving body wants the fuller record, the short certificate will not satisfy it.

German academic records reward careful handling

German qualifications — Abitur, Diplom, Magister, Staatsexamen — do not map cleanly onto US degree names, and the grading scale runs in the opposite direction, with 1 the best mark and 4 the lowest pass. We translate the qualification and grades as they stand rather than inventing a US equivalent, because assigning an equivalence is the credential evaluator's job, and a translation that pre-empts it can undermine the evaluation.
