An apostille is a certificate issued by a designated state authority confirming that a public document is genuine — that the signature, seal or stamp on it belongs to a real official acting in that capacity. It exists because of the 1961 Hague Convention, and it allows a document issued in one member country to be accepted in another without further consular legalization.

Two things about apostilles surprise most people, and both affect what you should order:

  • An apostille authenticates the document, not the translation. It says the birth certificate is a real birth certificate. It says nothing about whether your translation of it is accurate — that is what the certificate of accuracy is for. Many customers need both.
  • Apostilles only work between Hague Convention countries. If the destination country is not a member, the document goes through consular legalization instead, which is a different and usually longer process.

What gets apostilled

Apostilles are issued for public documents — vital records, court documents, notarized documents, and certain corporate and academic records. Private documents generally must be notarized first, which converts the notary's act into the public document that the state can then authenticate. Order of operations matters and is easy to get wrong. Authenticating a document and then translating it, when the destination wanted the translation authenticated too, means starting over. Tell us the destination country and what the receiving body asked for, and we will sequence it correctly the first time.

  1. Tell us the destination country. This determines whether an apostille applies at all, or whether consular legalization is needed instead.
  2. We confirm what the document needs. Some documents can be apostilled as they are; others need a certified copy from the issuing office, or notarization first.
  3. Notarization, if required. Handled in-house.
  4. Submission to the state authority. The document is submitted for apostille. Processing takes 5 business days.
  5. Translation. Certified translation is produced for whichever documents require it, sequenced correctly relative to the authentication.
  6. Delivery. The completed set is returned to you.

What You Need to Provide

To process an apostille we need:

  • The destination country. Not optional — it determines the entire process and whether an apostille is the right instrument at all.
  • The original document or a certified copy from the issuing office. Ordinary photocopies cannot be apostilled.
  • The issuing state. Apostilles are issued by the state where the document originated, which is not necessarily where you live now.
  • Any written instructions from the receiving body, including whether they require the translation to be authenticated as well as the original.

Apostille is $195 per document, with 5 business days of processing time. Certified translation, if needed, is priced separately at $49 for the first page (up to 250 words) then $0.12 per additional word. Notarization, where it is a prerequisite, is $19 per document.
