Manufacturing Translation

Translation of work instructions, SOPs, safety documents, training, specifications and supplier documents for plants with multilingual workforces or foreign partners.

The short answer

Plants translate for two audiences: workers who must understand procedures and training (OSHA requires training in a language they understand), and partners and regulators who need specifications, certificates and manuals. Safety data sheets must exist in English (29 CFR 1910.1200); machinery sold in the EU needs instructions in each country's language (Regulation (EU) 2023/1230).

Rules that apply

Each rule links to its source. Checked 4 November 2026. Rules change, so confirm with the office that will receive your documents.

Rule Source
Required training must be given in a language and vocabulary workers understand. OSHA, Training Standards Policy Statement (2010)
Safety data sheets and container labels must be in English; other languages may be added. 29 CFR 1910.1200
Machinery placed on the EU market needs instructions in the language determined by the member state; the Machinery Regulation applies from 20 January 2027. Regulation (EU) 2023/1230
Documented information in a quality management system must be controlled, which includes translated versions of procedures. ISO 9001:2015, clause 7.5
Sharing controlled technology with a foreign person, including a translator, can be a deemed export. 15 CFR 734.13(b)

On the shop floor

Work instructions, standard operating procedures, lockout/tagout procedures, machine labels, visual job aids and training materials are the documents workers act on. If a crew reads Spanish, Portuguese or Haitian Creole better than English, translating these is how a plant meets OSHA's expectation that training is understood, and how it avoids mistakes that a misunderstood step causes. Write the translation for the reader: short sentences, the words used on the floor, and the same term for a part or action every time.

Keep translations under document control

A translated SOP is a controlled document like the English one. If the English revision changes and the Spanish one does not, workers follow an obsolete procedure. Give each translation the same document number and revision as its source, and send us change lists with each revision so only changed steps are retranslated. Auditors look for exactly this under ISO 9001 and customer-specific requirements.

Supplier and customer documents

Foreign suppliers send specifications, material certificates, PPAP and first-article documents, and test reports. Customers abroad want your manuals, declarations and certificates in their language. Values, tolerances, standards and part numbers are copied exactly; units are not converted unless you ask.

Exporting machinery to Europe

From 20 January 2027, the EU Machinery Regulation replaces the Machinery Directive. Instructions must be in the language each member state requires, and the regulation allows digital instructions with conditions. If you sell machinery into the EU, plan the language matrix now: one approved English master, translated per market, versioned together.

Controlled technology

Drawings and process documents for defence or dual-use products may be export-controlled. Disclosing them to a foreign national translator can require a licence. Tell us before sending.

Audits and customer visits

Quality audits by customers or registrars, and inspections by agencies, regularly involve foreign-language records: supplier certificates, corrective-action reports from a sister plant, training records for workers trained in another language. Auditors need to read them. A short certified translation of the records an auditor samples is usually enough; translating the whole archive is not. Keep translated training records alongside the originals with the same identifiers, so either can be pulled when asked.

What we don't do

We translate; we do not author SOPs, deliver training, provide interpreters on the floor, or certify compliance with OSHA or EU rules.

Questions

Do translated SOPs need their own revision numbers?

Give them the same document number and revision as the English source, so auditors and workers can tell they match.

Can you translate supplier certificates and test reports?

Yes. Values, standards and lot numbers are copied exactly. Most certificates fit within the first-page price.

Do you translate lockout/tagout procedures?

Yes. Each step is translated in order with equipment names matching the labels on the machines, so workers can follow the procedure at the machine.

Do safety data sheets have to be translated into Spanish?

No. They must be in English, and you may also provide other languages. Training must be understood, which often means translated materials.

How do you keep translated SOPs in sync with revisions?

Send the change list or the previous version with each revision. We translate only the changes and keep the document number and revision aligned.

Can you translate machine labels and visual aids?

Yes. Labels have tight space, so send dimensions and we keep wording short.

Which languages do plant workers in New Jersey usually need?

It varies by plant. Spanish is the most common, and Portuguese, Haitian Creole and Polish are frequent. Ask your workforce rather than guessing.
