User Manual Translation
Translation of user manuals, instructions and quick-start guides for products sold in the US, the EU, Canada and elsewhere, following each market's language rules.
The short answer
Product instructions must be in the buyer's language in most markets. In the EU, safety information and instructions must be in a language consumers easily understand as each member state decides (GPSR, Article 9(7)), with similar rules for machinery and radio equipment. Quebec requires French instructions. US medical device labelling must be in English (21 CFR 801.15).
A user manual is often the only document a customer reads after buying, and the one a regulator checks when something goes wrong. It has to be clear enough for a first-time user and exact enough that a warning means the same thing in every language. We translate manuals, quick-start guides, safety leaflets and warranty cards for the markets you sell into.
Rules that apply
Each rule links to its source. Checked 4 November 2026. Confirm with the office that will receive your documents.

Typical length and price
Typical length: about 2,000–15,000 words per manual (about 8–60 pages of 250 words).
Estimated price from English into another language at that length: $252.00–$1,760.00 per file, certificate of accuracy included.
These figures are our estimates for a typical document of this type, not averages of past orders. Upload yours for an exact word count and price.
Language rules by market
European Union. Since 13 December 2024 the General Product Safety Regulation requires instructions and safety information in a language easily understood by consumers, as each member state decides. Sector rules say the same for radio equipment and, from January 2027, machinery. In practice, plan one language per country you ship to.
Canada. Quebec requires French on instructions, warranty certificates and product inscriptions; federal consumer labelling rules require English and French for many products.
United States. English is the norm and often the requirement (for medical devices, explicitly). Spanish is commonly added for the US market; if any required information is in Spanish on a device label, all of it must be.
Writing for the user
- Warnings keep their signal word and strength: DANGER, WARNING and CAUTION are not interchangeable.
- Steps stay numbered and in order, one action per step, with the same name for each button or part as printed on the product.
- UI text matches the product's own interface translation exactly; if the device screen says "Ajustes", the manual does not say "Configuración".
- Units, model numbers and specifications are copied exactly.
Source files and reuse
Manuals are revised with every model. Send the source in an editable format (Word, IDML, XML, DITA or Markdown) and, for an update, the previous source and translation. We translate the changed text only, and keep approved wording elsewhere, which reduces cost and keeps the versions consistent across a product family.
Symbols and images
Standard symbols reduce text, but their meaning must be explained somewhere in the manual, and that explanation is translated. Text inside illustrations is supplied as a numbered list for your designer, or edited in the source file if it is editable.
Safety information first
If budget forces a choice, translate the safety information, warnings and essential operating instructions first; that is what the EU rules require in every language, and what protects users. Detailed reference sections and troubleshooting tables can follow in a later release. Keep the safety leaflet as a separate, short document so it can be printed in many languages without reprinting the whole manual.
Digital instructions
EU rules increasingly allow instructions to be supplied digitally, with conditions such as providing paper on request and keeping safety information on paper. If your manual will be published on a website or in an app, send it to us as a document export (Word or PDF); we return a translated document, and your team publishes it. We do not work inside websites or help systems.
Warranty cards and declarations
Warranty terms, registration cards and declarations of conformity often ship with the manual. Warranty terms are contractual and are translated exactly; declarations of conformity keep their directive and standard references unchanged.
Spare-parts lists and exploded diagrams keep their part numbers; only the part names are translated.
What we need from you
- The editable source and the product's UI strings, if it has a screen.
- Target markets, so we use the right language variants.
- The previous version and its translation, for updates.
How it works
- Upload the document. The quote tool counts the words and prices the job before you commit to anything.
- Translation. The whole document - every page, stamp, seal and annotation - with the layout kept close enough to the original that a reviewer can read the two side by side.
- Certification. A State Court Certified Translator signs the certificate of accuracy.
- Delivery. A print-ready PDF by email, typically within 24 hours. Notarization, an apostille or mailed hard copies are added here if you need them.
Turnaround
Standard turnaround is 24 hours. Expedited service is +50% for 6-8 hours and +100% for 1-3 hours. Tell us your deadline when you order.
Pricing Information
Priced by word count: $49 for the first 250 words from English into another language, then $0.116 per word. Updates are priced on the changed text only. Layout in the translated language is quoted separately.
