Translation for Website and Software Companies

Professional translation of the documents behind a website or software business: legal pages, customer contracts, user guides, security questionnaires and hiring documents.

The short answer

We do not build, translate or localize websites and apps. Web and software companies use us for professional translation of their documents: terms of service and privacy notices (the GDPR requires clear, plain language, Article 12), customer contracts and data processing agreements, user guides, security questionnaires, and the diplomas and records of engineers they hire from abroad. Quebec requires standard-form contracts in French first.

Rules that apply

Each rule links to its source. Checked 4 November 2026. Rules change, so confirm with the office that will receive your documents.

Rule Source
Information given to data subjects must be concise, transparent, intelligible and in clear and plain language. GDPR, Article 12(1)
Contracts of adhesion (standard-form contracts) with Quebec customers must be presented in French before the parties may be bound by a version in another language. Charter of the French Language, CQLR c. C-11, s. 55
Releasing controlled technology or source code to a foreign person can be a deemed export. 15 CFR 734.13(b)
Advertising in a language other than English must make its required disclosures in that language. 16 CFR 14.9
For H-1B degree equivalency, three years of specialised experience may count for each year of university study lacking, proved with employer letters. 8 CFR 214.2(h)(4)(iii)(D)(5)
Foreign-language documents filed with USCIS, such as a foreign engineer's diploma, need a certified English translation. 8 CFR 103.2(b)(3)

What we translate for web and software companies

  • Legal pages: terms of service, privacy notices, cookie notices, refund and acceptable-use policies, delivered as documents for your team to publish.
  • Customer contracts: master subscription agreements, order forms, service-level agreements, data processing agreements, reseller and partner agreements.
  • Documentation sent as documents: user guides, administrator manuals, onboarding guides and release summaries exported to Word or PDF.
  • Security and compliance: security questionnaires from foreign buyers, policies requested in due diligence, audit correspondence.
  • Corporate and investor documents: foreign subsidiaries' registrations, board resolutions, term sheets with foreign investors.
  • Hiring: diplomas, transcripts and experience letters of engineers you sponsor for visas, with certified translations for USCIS.

Legal pages: decide which version governs

When terms of service exist in two languages, say which one prevails if they differ, and keep both on the same version date. A privacy notice in the user's language must be clear and plain under the GDPR; a literal translation of a dense US policy rarely meets that standard, so we flag passages that would read better from a simpler English source before translating them. For customers in Quebec, standard-form contracts must be presented in French first, so a French version of your terms is not optional there.

Documentation: send exports, we return documents

We work on documents, not on your website, CMS or code repository. Export the guide or policy to Word or PDF, send it with your term list (product names, feature names, button labels as your interface already shows them), and we return translated documents in the same structure. Your team publishes them. If your product interface is not translated, keep interface labels in English in the guide so users can match them to the screen; we will translate the explanation around them.

Security questionnaires and due diligence

Enterprise buyers abroad send questionnaires in their language and expect answers in it. We translate the questions into English for your security team and your answers back, keeping control numbers and references unchanged, so the buyer can match each answer to its question.

Export-controlled material

If technical documentation or source code is subject to export controls, sharing it with a translator who is a foreign person can be an export. Tell us before sending, and check with your export compliance team.

What we don't do

We do not translate or localize websites, apps or software interfaces; we do not work in your CMS, code, string files or translation management system, and we do not build multilingual sites or handle SEO for them. We translate documents you send us as Word, PDF or Excel files.

Questions

Can you translate our website?

We do not offer website translation or localization. If you export pages such as your terms or privacy notice to Word or PDF, we translate them as documents for your team to publish.

Can you translate our customer contracts and DPAs?

Yes. Defined terms are translated consistently, and bilingual contracts should say which language governs.

Do you translate user guides?

Yes, as documents exported to Word or PDF. Interface labels are kept as your product shows them.

Can you translate documents for an engineer's visa petition?

Yes: diplomas, transcripts and experience letters, each with a certified translation for USCIS.
